Microsoft Office 365: Boost Your Business Productivity

Office 365 is the next step in the evolution of business tools, delivering cloud-based productivity that complements the Office desktop experience.

The heart of business productivity lies with the information worker. Never has one person been able to do so much, both independently and in collaboration with others. And never before has IT had to deliver such capability. Information workers demand the ability to communicate critical business information with rich documents, presentations and spreadsheets; the ability to share that information quickly and securely with reliable communications solutions; and the ability to collaborate with colleagues, customers and partners alike.

While the Office suite of products has always delivered solutions to meet the challenges of the information worker, those challenges have continued to evolve. The landscape of technology and communications has continued to shift as well. And the Office suite continues to evolve, delivering the most comprehensive tools to help unlock user potential and maximize business productivity.

The Office 365 suite will be the next step in this evolution. Office 365 brings Office productivity to the cloud, and delivers cloud-based productivity on your terms. Here we’ll examine the features and capabilities of Office 365, the benefits they deliver and what you need to know to be ready for the transition in your organization. (To read more about Office 365 and to sign up for the beta program, visit the Office 365 Beta page.)

Office Online

Office 365 provides a suite of cloud-based applications to complement and enhance the Office desktop client experience. First among these is SharePoint Online. Instead of deploying and managing SharePoint internally, SharePoint Online gives you a complete hosted SharePoint experience. You and your business users have anywhere access to the rich collaboration, information management and business intelligence capabilities of SharePoint.

SharePoint Online gives you access to sites for:

  • Managing and sharing important files and documents (My Sites)
  • Keeping teams in sync and managing important projects (Team Sites)
  • Staying up-to-date with company information and news (Intranet Sites)
  • Sharing documents securely with customers and partners (Extranet Sites)
  • Promoting and marketing your business using a public-facing web site

You can access SharePoint Online directly from within Office 2010 client applications including Word, Excel and PowerPoint. You can create documents as you always have, and save them to online SharePoint workspaces.

From there, you can access documents using SharePoint Online via the Web, and also share them with others either within or outside the organization using granular permissions controls. Using the SharePoint Online Web portal and Office Web Apps, you can also simultaneously coauthor and collaborate on documents in real time (see Figure 1). This eliminates the need to constantly e-mail revisions back and forth.

Figure 1 Online collaboration using Office 365

Figure 1 Online collaboration using Office 365

Using SharePoint My Sites, SharePoint Online allows users to add interests, skills and abilities to their online profiles, making it easier for users to find subject matter experts within the organization. This not only enhances business productivity, but the expansion of social and professional networks within the company. SharePoint Online also supports rich social tagging, ensuring that users and communities can organize information in ways that make the most sense for their business.

Real-Time Communications

Office 365 also provides a robust, hosted communications infrastructure, using Exchange Online and Lync Online. Exchange Online provides e-mail, calendar, contacts and tasks infrastructure, as well as the complete functionality of an internal Exchange deployment, including presence information, publishing free/busy data, and MailTips.

You can access Exchange Online services in a variety of ways, including the full Outlook desktop client, the Outlook Web App (see Figure 2) and mobile devices using Exchange ActiveSync. The Outlook Web App provides full functionality across browsers, including Internet Explorer, Safari and Firefox.

As far as mobile devices, it supports the Windows Phone, Nokia E and N series devices, Palm devices, Apple iPhone and iPad, and certain Android phones. Exchange Online can also support BlackBerry devices on certain plans. This level of cross-platform compatibility ensures you have anywhere, anytime access to critical business information.

Lync Online lets you access a hosted version of Microsoft Lync Server, the successor to Microsoft Office Communications Server. It provides a reliable, secure and real-time communications platform, along with a plethora of next-generation capabilities.

Lync Online gives you anywhere, anytime communications across instant messaging, audio and video calling, online meetings and Web conferences (see Figure 3). You can move seamlessly between instant messaging conversations and ad hoc online meetings; conduct online presentations to customers or partners using audio, video and screen sharing; invite external contacts to participate in online meetings; and view presence status of other users within Lync and other Office applications.

Both Exchange Online and Lync Online support a coexistence deployment model. This facilitates integrating in-house and hosted services. Coexistence gives you the flexibility to migrate to cloud-based services at your own pace. You can keep some users on internally hosted servers, while migrating other users to Office 365. You can learn more about the coexistence deployment architecture by reading the Exchange Deployment Assistant page in the TechNet Library.

Provisioning and Administration

With Office 365, you pay for what you need on a per-user basis. There are three subscription tiers available: Office 365 for Enterprise, Office 365 for Small Business and Office 365 for Education. Each delivers the appropriate set of services based on your organization’s size and requirements. You can easily provision new users as they come on board. You can also manage existing users with an online IT Management Dashboard (see Figure 4).

Figure 4 The Office 365 IT Management Dashboard

Figure 4 The Office 365 IT Management Dashboard

The IT Management Dashboard lets you add new users, reset passwords, adjust subscription tiers, create security groups, manage service requests and so on. You can also delegate administrative control on a granular level. This lets you give your colleagues access to particular administrative functions based on user roles. For example, you could grant the legal department administrative access to user mailboxes.

Office 365 also includes pay-as-you-go licensing and management of Office Professional Plus. This features the latest version of Office desktop applications with integrated Office Web Apps. You and your users can have access to documents, e-mail, calendars or any other Office documents from virtually any device.

Office 365 is poised to change the way users create, manage and share business-critical information. By bringing the familiar Office experience to the cloud, providing cross-platform and device access, and providing flexible licensing and deployment capabilities, Office 365 can help your business keep up with an increasingly global and mobile environment.

Windows XP

By Patrick KershnerNo Comments

Windows XP had a great run. But as usual, all good things must come to an end. Windows XP started out December 31, 2001 and for 6 years it triumphed over everything else. The release of Microsoft Vista came next, but I am not going to go there. The most recent release of Windows to date is Windows 7, and soon Beta Version of Windows 8.
Microsoft has announced that on April 8, 2014, Windows XP will no longer be supported.  What this means is every computer that is running #XP will have to be converted to or upgraded to the newest version of Windows. If your current computer will not support it based on the Windows Aero Experience, you will have to make sure you have a great video card installed (min DirectX 9 512 MB), enough memory (min 1GB), and hard drive space (15GB) to run Microsoft Windows 7.
Windows XP has set the benchmark for a superior operating system (OS) and will continue to be one of the best out there. I know that moving from a system that you are comfortable with can be a real challenge. The new start menu can be confusing to some and trying to use the new features like Snap® by Microsoft for easy file transfer, multiple websites, and navigation might be tricky. Do not fret though- there are experienced people out there with the know-how of these features.
With the advancement of technology rapidly evolving, it is harder and harder to find parts for older computers. With Windows 7, it evolves with the growing technology. The advancement of memory has come a very long way. With Windows XP, it started out using DDR ram then evolved to DDR2. Now there is DDR3 ram which is a lot faster than its predecessors. The original DDR ram started out at 266MHz and ended at 625MHz. DDR2 Ram started out at 533MHz and ended at 1120MHz, all without overclocking (the ability to max the memory out). Finally, DDR3 started out at 800 MHz and ends at approximately 2000MHz or 2.0GHz (Gigahertz). We may never know how high the speeds are ever going to get because when you get something new, it is already outdated.
Windows XP has shown many users that computers can be friendly and easy to use. As the OS gets more technical, the friendlier it gets, making it very easy to use any system by just sitting at the desk and go. You can now take computers with you and leave one at home. You can access the same items that you have on your home computer on your laptop using the “Cloud” which makes file sharing a breeze.
As with any new or old technology, there then becomes the issue of compatibility. Being able to use a program that you previously had on an XP machine may not work on a newer OS, like Windows 7. The other major disadvantage of ANY technology out there is risk of getting a virus, Trojan, spyware and malware, all of which can cause harm to your system or even disable it from working at all. If you suspect that you are infected seek help immediately and do not try to recover for yourself or you may lose any documents, pictures, files, etc. you have on your system.

Online Backup Q&A

By Patrick KershnerNo Comments

Do you currently have online backup for your documents, pictures and music?  If not what is stopping you from getting it?  Are you worried about price, efficiency, time? Are you concerned about the safety of your information?

If you answered any of those, then I might be able to help, I have been posting on my Facebook wall the online backup and people have been asking me questions about it.

Q) How secure is this? If I’m putting MY personal files on YOUR backup system, are my files protected from everyone’s eyes?

Q) How hard would it be for someone to hack your backup system?

A) To answer the first question visit: http://pcronlinestorage.com/military.html, for the second question, Since we use the military grade encryption, you password is encrypted with 265AES protocols, meaning it would take a very, very long time for someone to hack your password if they tried to do it. Just remember using a very complex password, 8-16 characters, 1 special character, 1 capital letter and at least 1 number will be the best practice to use.

Q) So how does this really work? Am I backing up my files to YOUR computer or to some huge online mainframe somewhere?

A) We backup to multiple servers all over the world, currently there are 12 servers that we back up to. Each of those servers contains portions or all of your data for versioning reasons so you will never lose a file. Just another way we safeguard your files!

Q) Can I access my backed up files anytime 24/7, anywhere, from any computer?

A) Yes, by logging into the main account, located here: https://myaccount.managedoffsitebackup.net/

Q) Are there several different sized storage packages that you offer? In other words, if I’m wanting to backup 800 GB of data, do you charge less than if I had say 3 TB of data to back up?

A) Pricing is available on my website. Use the radio buttons and best choose the package for you. Pricing is based per Gigabyte (GB) and the more you get the cheaper is it.

With my online backup solution, you can never worry about losing a file again.  Should something happen to your computer and need to restore your system, just re-install my software and hit restore data, and it brings everything back to the way you had it before!  This solution is safer than an external hdd.  An external hard drive can fail without warning and make you lose everything you already backed up.  This is a cheaper safer and more robust alternative to backing up your important files.

Facebook Security Risk

By Patrick KershnerNo Comments

This is something I have discovered:

You might be at risk of being hacked on your Facebook Profile

  •         Click on your account settings
  •         Click on security tab, from there click on active sessions.

If you have more than one active session your account may be at risk. You can end the session and I recommend you to change your password for both Facebook and your email account.

You can also set up a nice little security feature that allows you to get a text message on your cell phone, so every place you log in to you can assign it a name.  The reason this is happening, is Facebook stores a small active session cookie on computers you have been on and hackers look for this.  When I looked at my active sessions, it said I was in Aurora, Colorado using a Safari on Linux, and I have no Linux boxes that I use.

This is a real threat on your Facebook information. They can gain access to your email and change your password easily.  Then you will never be able to log into your account again and have to start over.  That means you will not be able to look at your pictures or anything.  Everything would be lost.

Good luck and hope everything is well.

Employers want your Facebook Information….

By Patrick KershnerNo Comments
I

have been reading several articles over the past few weeks of job seekers being turned down job offers because of what is on their Facebook profiles. This is a blatant attack on employers to their perspective employees. It is an outrage for them to ask for this information as well as determine if you are a good candidate for the job. The American Public shouldn’t have to worry about being asked for something so personal to see if they get this job or not. I as a CEO think this is a persona violation of human rights, if I was to hire it would be because of their qualifications of the position applying for.

Think back to the times before Facebook became so popular.  These employers could not discriminate you because of your Race, Sex, Religion, Color, National Origin, Birthplace, Age, Disability, Marital/Family Status, but now it seem they need to add another one in there, Facebook Profile Information to make you hire-able.  Being asked for your Facebook Password and Username is like handing over your whole life to these employers and allowing them to dig into your personal life with great detail, to see where you have been, who your friends are, how you associate with your family members, what you talk about to your friends, what your political beliefs are and much more.  Would you hand over the keys to your brand new car or house if they asked you to?  I know I wouldn’t.  That’s just insane, just as employers are asking you for you Facebook information.

So many of us are jobless and are needing these jobs to get back to normal and for them to judge you on this information and let it be the last straw in the hiring process, I say NO, we cannot allow this.  We need to let them know that we are qualified by allowing them to ask us general questions and how we obtained the experience of the job at hand, whether it be from going to school, have done the job before and etc.  Those are the more important questions they need to ask.

Let’s stop these bastards from asking you this information, if they do JUST SAY NO.  If they keep pressing the issue, then I don’t think it’s a place for you to work.  It’s none of their business what we do in our personal time when we are not at work.  How we associate with our friends, family and acquaintances.

Please comment below if you agree or disagree.  I am stating my opinion on this matter, and everyone may feel different about it.  Let me know what you think.

Tigerdirect Disappointment…

By Patrick KershnerNo Comments

So today I was excited to open my email and see I have won something from a contest I entered in TigerDirect’s Million Dollar Cash & Prize Sweepstakes.  The title of the email was Million Dollar Cash & Prize Sweepstakes Winner! I really got interested in this, since I entered this sweepstakes every day that it was going on.  Upon reading further into the email I noticed that what I had won was a 6 months subscription for CA Internet Security.  Then about 4 minutes later I get another email from then saying that I had won another subscription to CA Internet Security, for 3 Months.  I am enclosing a copy of the email I have received from TigerDirect, I really don’t care who gets this serial number since I do not care about CA internet security, I have read many reviews about this and it is one of the worse, WORSE “anti-virus” protection software ever made.  Some of the reviews I have read about this was, “This software is a virus in its self and will highly NOT recommend this product to ANYONE.”  The overall rating on this product from Cnet.com is only 0.5/5.0 stars.  What is that saying about this product?

I then went to TigerDirect’s Facebook page and wrote a small complaint about this on their wall and they didn’t even respond back to this.  I have also noticed that there are many other people with this same email and are not very happy with this “Consolation Prize”, if you go to their Facebook page, you will see these other posts on their wall.

I am really disappointed in this prize after entering every day for a few months that this sweepstakes was running.  This product is so bad that when you place an order on their website you get a free copy of it with your order; they literally have to give this product away to get rid of the inventory they have stockpiled in their warehouses.   Obviously if they are not selling then why are you “giving them away” since NO ONE WANTS THEM TIGERDIRECT?  You have probably upset a lot of your fans by sending out this “Prize” that no one wants.  How can you justify this as a “prize” and feel good about yourself.

I have been a loyal, LOYAL customer of tigerdirect.com ever since I was able to order stuff online, and know how to build a computer. I have never been this much outraged in my life.  This was a huge disappointment, and don’t think this is a fair deal to your thousands of loyal fans.  If tiger wants to make this right, then they have to redo this whole “Consolation Prize” that they gave out and give us something else, something that we can actually use.

Once again , I know they were doing good-by sending this out as a consolation prize, and were good at heart, but I feel they could have done better in the choice they gave us for the dedication and time spent on entering the contest every day.

Victory!

By Patrick KershnerNo Comments

Hi everyone!

A big hurrah to you!!!!! We’ve won for now — SOPA and PIPA were dropped by Congress today — the votes we’ve been scrambling to mobilize against have been cancelled.

The largest online protest in history has fundamentally changed the game.  You were heard.

On January 18th, 13 million of us took the time to tell Congress to protect free speech rights on the internet. Hundreds of millions, maybe a billion, people all around the world saw what we did on Wednesday.  See the amazing numbers here and tell everyone what you did.

This was unprecedented. Your activism may have changed the way people fight for the public interest and basic rights forever.

The MPAA (the lobby for big movie studios which created these terrible bills) was shocked and seemingly humbled.  “‘This was a whole new different game all of a sudden,’ MPAA Chairman and former Senator Chris Dodd told the New York Times. ‘[PIPA and SOPA were] considered by many to be a slam dunk.’”

“’This is altogether a new effect,’ Mr. Dodd said, comparing the online movement to the Arab Spring. He could not remember seeing ‘an effort that was moving with this degree of support change this dramatically’ in the last four decades, he added.”

Tweet with us, shout on the internet with us, let’s celebrate: Round of applause to the 13 million people who stood up  - #PIPA and #SOPA are tabled 4 now. #13millionapplause

Share on Twitter Share on FB

We’re indebted to everyone who helped in the beginning of this movement — you, and all the sites that went out on a limb to protest in November — Boing Boing and Mozilla Foundation (and thank you Tumblr, 4chan)! And the grassroots groups — Public Knowledge, Electronic Frontier Foundation, Demand Progress, CDT, and many more.

#SOPA and #PIPA will likely return in some form.  But when they do, we’ll be ready.  Can you make a donation to Fight for the Future, to help us keep this fire going?

13 million strong,

Tiffiniy, Holmes, Joshua, Phil, CJ, Donny, Douglas, Nicholas, Dean, David S. and Moore… Fight for the Future!

P.S.  China’s internet censorship system reminds us why the fight for democratic principles is so important:

In the New Yorker:  ”Fittingly, perhaps, the discussion has unfolded on Weibo, the Twitter-like micro-blogging site that has a team of censors on staff to trim posts with sensitive political content. That is the arrangement that opponents of the bill have suggested would be required of American sites if they are compelled to police their users’ content for copyright violations. On Weibo, joking about SOPA’s similarities to Chinese censorship was sensitive enough that some posts on the subject were almost certainly deleted (though it can be hard to know).

After Chinese Web users got over the strangeness of hearing Americans debate the merits of screening the Web for objectionable content, they marvelled at the American response. Commentator Liu Qingyan wrote:

‘We should learn something from the way these American Internet companies protested against SOPA and PIPA. A free and democratic society depends on every one of us caring about politics and fighting for our rights. We will not achieve it by avoiding talk about politics.’”
